Privacy Policy

Future Stars Development (“the club”, “we”, “us”). Last updated: 31 October 2026.

This policy explains how we look after personal information about players, parents and guardians, and visitors to our website. We follow the UK GDPR, the Data Protection Act 2018 and the Data (Use and Access) Act 2025. We take extra care with children’s information.

Who we are

Future Stars Development is the “controller” of your information, which means we decide how and why it is used. Contact us at [club email address] or at [club postal address], or through futurestarsdevelopment.co.uk.

Players under 18

A parent or guardian must register any player under 18 and complete our Parent / Guardian Consent Form. We do not knowingly set up accounts for children under 13 without a parent or guardian. Parents and guardians can ask to see, correct or delete their child’s information at any time.

What information we collect

• Contact details: parent or guardian name, email, phone and address.
• Player details: name, date of birth, and the details you give when you register.
• Emergency contacts.
• Health information: medical conditions, allergies and medication that coaches need to know to keep players safe. This is special category data.
• Training records: attendance, coach feedback on strengths and areas to improve, and coach notes.
• Booking and payment records: sessions booked, whether they are paid, and how. We never see or store full card numbers. Card payments are handled by Stripe.
• Photos and video: only if you have given consent.
• Account and website data: login details, and basic technical data needed to keep the site secure.

Why we use it, and our legal basis

• Running sessions, bookings and payments: to carry out our agreement with you (contract).
• Keeping players safe, coaching and tracking progress, running the club: our legitimate interests in providing a safe, well-run club that do not override your or your child’s rights.
• Health information: your explicit consent, given on the consent form. In an emergency we may share it with medical professionals to protect someone’s life (vital interests).
• Photos and video, and marketing messages: your consent. You can say yes to some and no to others.
• Accounts, tax and legal records: to meet our legal obligations.
• Safeguarding: to meet our legal and public-interest duties to protect children.

Who we share it with

• Coaches and club staff or volunteers who need it to do their role.
• Stripe, our payment provider, to take card payments and set up auto pay.
• Our website host and technology providers, who process data on our behalf under contract.
• Emergency services, medical professionals, the police, local authority or safeguarding bodies where needed to protect a child or where the law requires.
• Our governing body (for example the FA or County FA) if registration or safeguarding rules require it.

We do not sell personal information. Some providers, such as Stripe, may process data outside the UK. Where they do, we rely on approved safeguards.

Auto pay

If you switch on auto pay, Stripe securely saves your card the first time you pay online. We then charge the price of sessions you book. We never see your full card details. You can switch auto pay off in your portal at any time.

How long we keep it

• Player and training records: while the player is active, then up to 12 months after they leave.
• Health information: while the player is active, and deleted when they leave. Please keep it up to date.
• Payment and accounting records: usually 6 years, as required for tax and accounting.
• Photos and video: until you withdraw consent, or up to 3 years if you do not.
• Accident and safeguarding records: as long as safeguarding guidance requires.

Keeping it safe

Access is limited to people who need it. Coaches and trainees have separate logins, and passwords are stored in encrypted form. If there is a serious data breach we will tell the ICO and anyone affected as the law requires.

Cookies and our website

We use only the cookies needed to log you in and keep the site working. We do not use advertising cookies. Our website loads fonts from Google Fonts, which means your IP address is sent to Google when the page loads.

Your rights

You, and a parent or guardian for a child, can ask us to: show you the information we hold; correct it; delete it; limit how we use it; give you a copy to move elsewhere; or stop using it where we rely on legitimate interests. Where we rely on consent you can withdraw it at any time, and this does not affect what we did before. Contact us using the details above. We aim to reply within one month.

Complaints

If you are unhappy with how we have used information, please tell us first at [club email address]. We will acknowledge your complaint within 30 days, look into it, and reply without undue delay with the outcome. If you are still not satisfied, you can complain to the Information Commissioner’s Office at ico.org.uk/concerns or on 0303 123 1113. Both adults and children can make a complaint.

We will update this page if our practices change and will tell you about significant changes.
